About the role:
Reporting to the Executive Manager – People & Culture, you will be responsible for the day-to-day administration of the People & Culture department plus lead a number of process improvement projects. You will be the first point of contact for all queries coming from staff, volunteers and external stakeholders. This role includes recruitment and on boarding of new staff, HR administration and reporting, management of confidential documents and databases, and taking a lead in promoting a healthy organisational culture.
This is a diverse role, where no two days will be the same. We require an individual who is a problem solver, is a great communicator, has an excellent eye for detail, and is happy to work as part of a team as well as autonomously. You will need to be curious, proactive, responsive and astute.
Your responsibilities will include:
- Being the first point of contact for any queries that come into the department,
- Managing HR processes and confidential databases,
- Producing ad hoc HR reports on a variety of people metrics,
- Liaising across all departments on a variety of projects,
- Assisting with leading employee engagement initiatives,
- Coordinating end to end recruitment and on boarding, and
- Build relationships with third-party suppliers providing them with support and communications.
About you:
You will be approachable, commercially minded and have a proven ability to balance multiple priorities. You produce written communication that is well defined and concise and you are able to effectively communicate with staff, managers, executives and external stakeholders.
- You have experience in a similar HR role and/or relevant degree
- You have high levels of discretion and confidentiality
- You’re a strategic, creative and practical thinker and planner
- You have excellent computer literacy, are proficient with Office365 and have an aptitude to learn new systems and platforms
- Excellent administrative and project management skills.
- An ability to manage numerous projects simultaneously, with excellent attention to detail, often working to tight deadlines
- Have the ability to show initiative and take ownership of duties and tasks
- You have strong people skills — you are approachable, a good listener and empathetic.
- You have the highest levels of personal integrity and ethical behaviour

Your responsibilities will include:
- Work with our team to deliver a compelling visitor experience that maximises profitability, promotes the Trust brand and broadens Australian’s appreciation of our heritage
- Coordinate the day-to-day operations of Como House & Gardens and Labassa including the maintenance, conservation and presentation of the properties and their collections
- Management of casual staff and volunteers including recruitment, on boarding, training and rostering
- Continuous improvement of the Trust’s effectiveness in managing health & safety
- Liaise with external providers and stakeholders to ensure the efficient coordination of events, functions and filming in the Como House & Labassa properties
- In conjunction with our team, develop and sustain operational plans for Como House & Gardens and Labassa, temporary exhibitions, programs, events and education programs

Weddings & Functions Coordinator
The National Trust of Australia (Victoria) (NTAV) is an independent, non-profit organisation supported by a large community base. We are Victoria’s premier heritage and conservation organisation, and the major operator of historic properties and sites open to the public across Victoria.
We are seeking a Weddings & Functions Coordinator to join our weddings team with a passion for the industry and for delivering unique events in our heritage spaces.
This is a multi-faceted role, where no two days are the same. You will need customer service skills, excellent communication skills and an eye for detail, as well as a willingness to put your hand up and help where required. In return, you will have access to some of the most magnificent gardens and properties in Melbourne, as well as a great workplace culture and flexible working hours. You will also be able to explore our various other properties using your complimentary National Trust membership.
This role is responsible for end-to-end wedding ceremony delivery, as well as supervising Wedding photography, commercial & filming bookings. Ensuring our clients have the best day of there lives at one of our beautiful properties.
Your Responsibilities will include, but are not limited to:
- Guiding wedding clients through from their very first enquiry, all the way through to their special day.
- Promptly responding to incoming enquiries and assisting with site visits.
- Creating run sheets to be sent to all relevant departments and external suppliers to facilitate the smooth running of all events.
- Contacting all ceremony suppliers in the run-up to the ceremonies to ensure they have all the required information.
- Supervising wedding photography bookings across multiple sites.
- Maintaining relationships with clients, staff, suppliers, and stakeholders.
- Ensuring all ceremony bookings operate within the permit of the properties.
- Assisting with the management and creation of commercial filming and photography bookings
- Keeping up with industry standards and being able to bring this knowledge to better our product.
- Monitoring and entering all database information and assisting with all administrative departmental duties.
About You
To be successful in this position, you will need to have experience in the following:
- Experience in the world of Weddings and Functions.
- Willingness to learn about the wedding market.
- Attention to detail and ability to keep on top of wedding enquiries, event delivery and client coordination simultaneously.
- A strong emphasis on consistency in delivering incredible customer service and events.
- High level skills in general administration
- Microsoft 365 knowledge & skills.
- Confidence under pressure and flexibility in resolving issues and compliance requirements.
- Experience using a computerised booking management system is desirable but not essential.
- Ability to work outside of normal working hours and on weekends for weddings, site inspections and filming bookings.
